Terms of Service
Last updated 26 October 2026
1. About these terms
These terms are an agreement between SMK Tech Labs (“we”, “us”) and the travel agency that uses Qafla (“the agency”, “you”). By creating a login or using Qafla, you agree to these terms and to our Privacy Policy. If you use Qafla for an agency, you confirm you are allowed to accept these terms for it.
2. The service
Qafla helps Hajj, Umrah and Ziyarat agencies manage leads, packages, groups, pilgrims, passports, documents, visas, payments, hotel rooms, group trips and reports. We may improve, add or change features over time. If we remove a feature your plan depends on, we will tell you in advance.
3. Accounts and access
- Logins are created by invite. Each person must use their own login and keep their password private.
- The agency owner controls who has access, their roles and permissions, and must remove access for people who leave.
- You are responsible for everything done through your agency’s logins. Tell us straight away if you think a login has been misused.
4. Your responsibilities
- Lawful data. You may only enter information you are allowed to collect, and you must tell your customers how you use their information. You are responsible for the information you enter and for keeping it accurate.
- Checking documents. Qafla’s passport check, expiry warnings, room arrangements and other checks are aids to help your team. They do not replace your own checks. Your agency remains responsible for the accuracy of names, passports, visas, tickets, hotel bookings and every arrangement for your customers’ travel.
- Messages. Messages Qafla prepares are sent by your staff from their own WhatsApp. You are responsible for what is sent and for following WhatsApp’s rules.
- Your customers. Your agreements, prices, refunds and service to your customers are between you and them.
- Fair use. Do not misuse Qafla: no attempts to access other agencies’ data, break security, overload the service, copy or resell the software, or use it for anything unlawful.
5. Plans, trial and payment
- New agencies may start with a free trial. Plans, prices and limits (branches, staff and pilgrims per year) are shown on your Plan & billing page. Any price agreed with you in writing applies to your agency.
- Fees are paid monthly or yearly in advance, by bank transfer, JazzCash, Easypaisa, cash or cheque as agreed.
- If a plan limit is reached, existing records keep working, but adding more needs a higher plan.
- When a free trial ends, or if a payment is more than 7 days late, your account becomes read-only: your team can still see everything, but cannot add or change anything until a plan is chosen or the payment is made. Nothing is deleted because of a late payment.
- We may change list prices with at least 30 days’ notice. A change applies from your next renewal, not to a period you have already paid for.
- Fees already paid are not refundable for part of a month or year, unless the law requires it or we agree otherwise.
6. Your data
- Your agency owns the information it enters. We use it only to provide Qafla to you, as described in the Privacy Policy.
- The agency owner can download all of the agency’s data in one Excel file at any time from Settings, including before leaving. Photos and scans can be requested from us.
- If you close your account, we delete your data within 90 days, unless the law requires us to keep it.
7. Availability and support
We work to keep Qafla available and fast, but we cannot promise it will never be interrupted, for example during maintenance, internet or hosting outages. Support is given on WhatsApp during working hours. Plans may include faster support.
8. Suspension and ending
- You may stop using Qafla at any time. A paid period is not refunded, and your account stays usable until it ends.
- We may suspend an account that breaks these terms, puts other agencies or the service at risk, or uses Qafla for anything unlawful. Where possible, we will warn you first and give you a chance to fix it.
- We may stop offering Qafla. If we do, we will give at least 60 days’ notice and a copy of your data.
9. Our responsibility
Qafla is provided as a tool, as it is. To the extent the law allows, we are not responsible for indirect losses such as lost profit, lost bookings, or travel problems caused by incorrect information, missed checks or messages that were or weren’t sent. Our total responsibility for any claim is limited to the fees your agency paid us in the 12 months before the claim. Nothing in these terms removes rights that the law does not allow to be removed.
10. Changes to these terms
We may update these terms. We will post the new version here with a new date. For important changes, we will tell agency owners in advance. Continuing to use Qafla after a change takes effect means you accept the new terms.
11. Law
These terms are governed by the laws of Pakistan. We will always try to solve any disagreement by talking first. If we cannot, it will be settled by the courts of Pakistan.
